SUMMARY:
Schafer Richardson, LLC is a real estate investment company providing development, management, leasing, and construction services to its commercial and multifamily real estate portfolio in the Upper Midwest. The Assistant Property Manager is responsible for assisting in the day-to-day operations of Schafer Richardson’s Leasing and Property Management team. This individual works closely with the Property Manager(s) to manage a property or group of properties in accordance with the terms of the property’s management agreement. In addition, the Assistant Property Manager must demonstrate regular use of discretion, judgment, and problem-solving while delivering excellent customer service and satisfaction in representing the Schafer Richardson real estate service brand.

DUTIES AND RESPONSIBILITIES:

BASIC FUNCTIONS:
- Manage a portfolio of assets directly.
- Assist with a property or group of properties.
- Execute Property Manager job duties as necessary in the absence of the Property Manager(s).
- Supervise and manage vendors, landscaping, janitorial, maintenance, and dispatch maintenance or vendors to properties when needed.
- Support Property Managers in preparation of default notices, tenant correspondence, and other department documentation.
- Recommend alterations and maintenance to Property Managers.
- Responds to tenant needs, ensuring that the building staff resolves problems promptly.
- Ensure services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.
- Correspond with tenants regarding management questions, maintenance and repair issues or other service-related items.
- Manage and coordinate day-to-day financial transactions, including accounts receivable, accounts payable, and collection of rents and charges.
- Communicate clearly and on a timely basis with accounting personnel using and/or providing the appropriate documentation.
- Track and maintain Energy Star and utility benchmarking data so information is current, accurate, and reported properly
- Manage tenant access cards, including annual audits of card access system(s).
- Parking lot management, ticketing, towing, auditing, drafting communications.
- Participate in/or conduct quarterly building inspections.
- Write annual property budgets while providing input and support as well as gathering data for entry into Yardi.
- Facilitate holiday gift management for the portfolio.
- Participate in the performance oversight of all service contractors working within the building to confirm all paperwork and COIs are in place prior to work being completed.
- Recommend and/or authorize vendor contracts as appropriate.
- Coordinate and/or assist in tenant events, Fire/Life Safety procedures, and move-ins/move-outs.
- Assist with regular inspections of the building exterior and interior, including tenant areas, making sure to comply with code, local, state, and federal ordinances, as well as company or building policies and procedures for any properties directly managed.
- Maintain files and written records.

- Prepare professional written correspondence for tenants, vendor,s and clients.
- Collaborate with other Schafer Richardson colleagues to seek, offer, and gain experience as well as utilize them as resources.
- Learn the Schafer Richardson culture and communicate that culture consistently through all relationships.
EQUIPMENT:
- Personal owned vehicle for transportation to various sites included in managed portfolio.
- Must possess a valid driver’s license, acceptable driving record, and the state mandated level of insurance.
- Personal owned cellphone.
WORKING HOURS:
- The core office hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., however, additional hours will be required to provide service to tenants and vendors, including nights and weekends by resolving tenant or building issues.
EDUCATION/EXPERIENCE:
- Bachelor’s Degree preferred in Business Management, Finance, Accounting or a similar discipline
- MN Real Estate License (Salesperson); required
- Professional development through BOMA, IREM, or other industry trade organization; preferred
- Ability to pursue RPA or CPM professional designation(s); preferred
KNOWLEDGE, SKILLS AND OTHER ABILITIES:
- Proven ability to organize, coordinate, track and complete multiple tasks, while adjusting to changing priorities.
- A minimum of 3 years’ commercial property management experience.
- Knowledge of Yardi and accounting software such as MRI, Angus or CTI preferred proficiencies
- Must have experience in Microsoft Office including Word, Outlook, Excel, Sharepoint, Teams and PowerPoint.
- Ability to keep information strictly confidential.

The employee in this position must frequently communicate with tenants as well as department management and must be able to exchange accurate information in these situations. While performing the duties of this job, the employee must be able to remain in a stationary position 50 percent of the time. The employee operates a computer and other office productivity machinery (i.e., a computer, copy machine, and computer printer). In addition will occasionally lift and/or move up to 15 pounds as well as move about inside the office to access computer equipment and/or throughout the building to handle cleaning and maintenance.
